Hotel California by the Sea (HCBTS) is a dual-diagnosis drug and alcohol treatment center located in Newport Beach, CA with other facilities located in Bellevue, WA, and Cincinnati, OH. HCBTS is looking for a dynamic and passionate individual to join our outstanding team as an Admissions Specialist!

 


Summarized Job Duties:

 

  • Responsible for responding to admissions inquiries, including but not limited to admissions phone line calls and web-based inquiries. Complete HCBTS Admissions Team contact logs (including status updates and planned follow-up actions). Communicate and coordinate client admission matters with the HCBTS Admissions Team and other staff members as applicable and appropriate.
  • Responsible for coordinating the pre-admit process for potential clients and planned client admissions.
  • Maintain a strong understanding of the care, treatment, and services that HCBTS offers and provides to individuals with substance use disorders, mental health disorders, and/or co-occurring conditions. Effectively communicate this information in the course of performing assigned admissions duties in an effective and professional manner.
  • Complete HCBTS Pre-Admit Assessment Screening form using information reported by the potential client (and/or information reported by other persons as necessary and appropriate). Submit the Pre-Admit Assessment Screening form to Medical and Clinical for review and approval in a timely manner. Reply to follow-up questions in regards to the Pre-Admit Assessment Screenings and gather requested additional information.
  • Responsible for explaining the forms of payment that HCBTS accepts to potential clients and negotiating the financial terms for each client’s Admission Agreement in accordance with HCBTS policies and protocols. For potential clients who want to utilize insurance to pay for HCBTS treatment services, complete the verification of benefits (VOB) form and submit the VOB form to billing for review and approval. Communicate with clients and/or FRP (financially responsible party; e.g., parent) to obtain payment for HCBTS treatment and services. Follow the HCBTS policies and protocols applicable to each form of payment (out-of-network insurance, in-network insurance, collection of member responsibility amounts, private payment amounts/terms, and pro bono care approvals).
  • Complete client Admission Agreements in accordance with HCBTS policies and protocols.
  • Complete outreach duties/assignments and marketing events/activities. Effectively communicates, educates, and presents information about HCBTS treatment and services to healthcare professionals/organizations, hospitals, businesses/corporations, the legal community, the general public, and the local community. Develop and maintain positive professional relationships with the above-stated parties. Attend and engage in approved behavioral healthcare-related conferences/events.
  • Participates, communicates, and contributes to the HCBTS Admissions Team meetings, plans, projects, training, and conference calls.
  • Comply with the policies set forth in the HCBTS Employee Handbook. Complete all required trainings.
  • Perform specific admissions tasks and duties assigned by your Supervisor/Manager

 

Minimum Requirements:

 

  • 2+ Years Work Experience for a Behavioral Healthcare Company
  • 2+ Years Work Experience in Sales, Marketing, and/or Customer Relations
  • Bachelor’s Degree (preferred, but not required)
  • Excellent Interpersonal Skills,
  • Strong Written and Verbal Communication Skills
  • Good Time Management and Organization Skills
  • Must have open availability (weekends and evenings)
