Job Summary
We are seeking a detail-oriented and organized Business Office Assistant to join our team at Santa Fe Post Acute in Vista, California. This role is essential in ensuring the smooth operation of our office by providing administrative support, and assisting with various clerical tasks. The ideal candidate will possess strong computer skills, be proficient in office management, and have experience with healthcare billing and accounting.

Responsibilities

  • Update manual census and reconciled against PCC.
  • Prepare Medical TAR with appropriate attachment on timely fashion and update Pending Auth log
  • Review payment RA’s for accurate and timely payment. Appeal any denials, complete corrected claims as necessary
  • Dispurse petty cash from Resident Trust Account.
  • Monitor and collect accounts receivables. Report delinquent accounts to the Office Manager/Administrator/ A/R Resource.
  • Research aged balance on aging and identify account for adjustment and communicate to BOM if assistant needed.
  • Prepare write off or refund requests for BOM to review
  • Verify Medicare eligibility (monthly) .
  • Maintain complete Medicare eligibility (CWF)
  • Update PCC for any HMO co-pays and inform resident or family.
  • Make collection follow up calls
  • Enter new resident into our billing system (Point Click Care)
  • Prepare and submit monthly managed medi-cal claims and HMO claims
  • Assist resident, family, department heads, and vendor with billing questions.
  • Enter monthly ancillary charges assign at month end. .
  • Prepare deposits in absence of BOM
  • Assist resident/family with Medi-Cal application and annual Re-dermination.
  • Attend weekly A/R review with BOM & Executive Director.
  • Assist resident with Social Security change of address or become payee.
  • Provide weekly update of Medical pending cases to BOM & Executive Director.
  • Maintain monthly working aging spreadsheet
  • Fax discharged MC171 to county and social security and upload to PCC
  • Perform administrative functions as necessary or directed.

Qualifications

  • Previous office experience or administrative experience is required; clerical experience is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Familiarity with insurance billing or accounting software is highly desirable.
  • Strong organizational skills with attention to detail and accuracy in typing and data entry.
  • Excellent phone etiquette and communication skills; bilingual candidates are encouraged to apply.
  • Experience in customer service roles, preferably in a medical setting as a receptionist or personal assistant.
  • Ability to manage multiple tasks effectively while maintaining a professional demeanor.

Job Type: Full-time

Pay: $25.00 - $29.00 per hour
