Responsible for greeting clients and other for the College of Veterinary Medicine; schedule patients and confirm patient appointments; process patient payments and receipts. Support the veterinarians, veterinary technicians and veterinary assistants in ensuring quality veterinary care for all pets, advocates for pets, educate clients on all aspects of pet health, and ensure a safe and effective hospital environment.

Individuals must possess these knowledge, skills and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.

1. Good computer skills necessary in order to set up document formats in Word, Excel, and any other software program required by this position. Familiarity with the Internet is helpful.

2. Good verbal and written communications skills. Veterinary medical terminology is helpful.

3. Skill with fax, copy machine, printer, telephone operation, and the ability to type at 40 words per minute.

4. Basic math skills.

5. Applicant must be able to read, write, speak, and comprehend the English and Spanish language.

6. Applicant must have excellent interpersonal skill necessary to interact well with patients, staff, students, physicians, and the public; be culturally sensitive.
Required Qualifications
Education: Any combination of education, training or experience that provides the required knowledge, skills and abilities. Graduate Equivalency Diploma or High School Diploma required.

Experience: 1-3 years of experience in a similar or related position. Experience in a clinical medical setting is helpful.

Other: Must be at least 18 years old to perform duties involving radiography (x-ray) and exposure to radioactive substances.

Schedule and confirm patient appointments while accommodating the patient’s needs.

Assist clients, if needed, with completion of consent/medical forms by obtaining relevant information and history from clients and maintain proper and complete medical charts.

Assist outgoing clients by providing all necessary instructions, information, and invoices, dispensing prescription items per the veterinarian’s instructions, selling retail products, and scheduling future appointments.

Collect client payments, issue receipts, and post payments in the College’s practice management system. Reconcile the daily cash deposits collected.

Prepare the daily deposits for checks arriving in the mail, make copies of the checks and deposit slips for the medical billing department.

Perform a variety of clerical duties, e.g., photocopies, collates, distributes, mails, faxes, files, delivers and/or picks up materials from on or off-campus.

Act as the extra eyes, ears, and hands for the veterinarian and veterinary technician to ensure the best quality pet care and to maximize the veterinarian’s and veterinary technician’s productivity. Communicate with veterinarian, veterinary technicians, and all other associates to maintain the flow of patients.

Provide professional, efficient, and exceptional service at all times. This includes performing or preparing procedures that do not require veterinarian or veterinary technician assistance, completing preparatory work for other procedures, ensuring that clients and pets are comfortable in the hospital, and monitoring hospitalized or surgical pets as allowed in the state practice act.
