Full Job Description

This position is for a back office medical assistant. Employee will be cross trained to handle front office, and may start there for a few weeks then move to back office.

Medical Assistant Responsibilities

  • To courteously and professionally greet patients and escort them to the examination room noting subjective complaints in patient's chart and setting flag to alert provider that patient is ready.
  • To scribe all visit information (input, diagnoses and plans) into EHR (EMA) accurately and efficiently, with attention to detail
  • To prepare necessary instruments as supplies, as necessary or directed.
  • To reassure patients after provider's examination by answering questions, discussing procedures, etc. – to give patient hand out sheets as directed
  • To ensure provide has accurately completed necessary paperwork, including encounter forms, and are legibly signed
  • To accurately complete prescriptions through EHR for patients as directed by provider.
  • To prepare necessary surgical dressing and instruct patient in post-operative wound care, such as dressing changes and use of medications.
  • To prepare slides for KOH and obtain samples for culture as directed by provider.
  • Assist providers in preparing the patient and the facilities for minor surgeries
  • To clean and sterilize instruments, clean and stock exam rooms
  • To clean and turn over exam rooms after patient visit
  • To check the schedule and organize patient flow
  • To inform person in charge of ordering supplies when medical inventory items in the stock room are low.
  • To obtain prior authorization on medications and referrals as necessary and instructed
  • To ensure patient appointments for follow-up visits, surgical procedures and/or referrals to other providers have been scheduled.
  • To adhere HIPAA regulations and maintain strict patient confidentially.
  • To ensure patient proceeds through the check-out process ensuring patients have properly paid for all amounts that day.
  • To medical related calls/messages and return phone calls in a timely and pleasant manner
  • Cleaning and spore testing of the autoclave, adhering to scheduled maintenance and maintain record-
  • Maintenance of biopsy log, biopsy slides, and pathology reports
  • Processing refill requests per physician protocol
  • To perform other duties as assigned.

Front office Job Responsibilities

  • Greet patients in a courteous and professional manner, providing instructions and guidance to complete patient intake forms
  • Ensure patient information is current, co-payments are collected, ensure all necessary forms are completed, legibly and signed
  • Obtains and confirms pertinent insurance, deductible, billing, and demographic information and accurately enters the patient and insurance information into the EHR system.
  • Scan insurance cards and drivers license of patients into EHR
  • Notify medical assistants and providers that patient is ready to be seen
  • Cross trained to room the patient, and room turnover, if needed
  • Answers telephone calls promptly and politely. Schedules appointments and performs verification according to provider rules and guidelines for different visit types (surgical, cosmetic, follow up, consultation), documenting service requests. Document all call information according to standard operating procedures.
  • Educate patients politely on office policy related to appointments/payments
  • Revise daily schedules for cancellations or “no shows” and advise clinical staff of any changes
  • Clerical duties: photocopying, scanning, preparing labels, faxing, filing, preparing cover sheets
  • Adhering to all HIPAA regulations and maintain strict patient confidentiality
  • Ensure waiting room is clean and orderly throughout the work day
  • Assist and facilitate the patient check-out process and payment policies and procedures
  • Treat all patients and staff with professionalism, kindness, fairness, and courtesy, thus contributing to an overall positive work environment
  • To report to work at the scheduled time, demonstrate consistent and regular attendance
  • Performing all other duties and assigned
  • Medical Billing knowledge (modernizing medicine EMR) is a plus

Job Requirements

  • One year of experience working as a Medical Assistant.
  • Certificate from an accredited Medical Assistant program.
  • Experience in dermatology and surgery – Preferred
  • Knowledge of EHR / Modernizing Medicine (EMA) - Preferred
  • Spanish competency – Preferred
  • Phlebotomy experience – Preferred
  • Demonstrates overall professionalism in attitude, demeanor and personal appearance.
  • Having a warm personality and excellence in customer service.
  • Excellent time management skills and ability to multi-task and prioritize work
  • Taking Initiative within set daily responsibilities with attention to detail
  • Ability to properly utilize office equipment, including multi-line phones, computers copier, fax machine, and other basic office equipment.
  • Basic operating knowledge of computers and iPads
  • A team player with a positive “can do” attitude
  • Excellent verbal and written communication skills
  • Demonstrates high reliability through consistent punctuality and attendance.
  • Demonstrate honesty and integrity at all times.
  • Valid driver’s license

Job Type: Full-time

Pay: $17.00 - $23.00 per hour
