Relocating HQ Mid-2024: Newport Beach, CA (Hybrid)**
Salary Range: $80,000-$100,000 annually

Scope of the Role
The Domestic Accounts Payable Manager is responsible for all the functions of the Domestic Accounts Payable department including but not limited to overseeing and managing the accounts payable functions, accounts payable personnel, ensuring accurate and timely processing of all vendor invoices and payments, maintaining strong vendor relationships, and ensuring compliance with financial regulations and internal controls.
 
Essential Functions & Key Responsibilities
  • Oversee the processing of incoming invoices, ensuring accurate coding, approval workflows, and proper documentation
  • Manage the AP Automation system (TAPP) and enforce processes & procedures related to it
  • Review and reconcile discrepancies in vendor invoices and resolve issues in a timely manner
  • Coordinate and schedule payment runs, including checks, electronic transfers, and other payment methods
  • Ensure timely and accurate payment of invoices to avoid late fees, manage payment discounts, and maintain strong vendor relationships
  • Communicate effectively with vendors to address inquiries, resolve discrepancies, and build positive relationships
  • Prepare regular accounts payable reports, including aging reports, payment terms tracking, payment status, and other relevant metrics
  • Manage the 1099 Yearly tax filings
  • Provide financial data to support management decision-making
  • Participate in audits and ensure that all documentation is readily available and accurate
  • Develop effective relationships with stakeholders to ensure process compliance
  • Lead, mentor, and manage a team of accounts payable professionals.
  • Set performance goals, provide training, and conduct regular performance evaluations.
  • Utilize NetSuite and tools to manage and track invoices, payments, and financial data.
Qualifications & Required Experience
  • Bachelor's degree in Finance, Accounting, Business Administration, or a related field
  • 5+ years of Accounts Payable Management experience
  • 3+ years of experience in supervising staff
  • Experience with / knowledge of ecommerce or retail industries
  • Experience with NetSuite ERP or similar system
  • AP Automation implementation experience
  • Vendor onboarding / compliance (COIs, W9s, W8s, etc)
  • Payables Workflow/Process improvement experience
  • Strong knowledge of accounting principles, financial regulations, and internal controls
  • Proficient in Microsoft Office with an intermediate knowledge of Microsoft Excel
  • Ability to define problems, collect data, establish facts, and generate alternative solutions
  • Detail-oriented with strong analytical and problem-solving abilities
  • Excellent interpersonal skills, and be able to respond effectively to inquiries from various levels of management
  • Excellent verbal and written communications skills with the ability to communicate and present issues in a clear, accessible and impactful manner
  • Excellent management and supervisory skills
  • Team player who is self-motivated and can organize and prioritize workload while managing to deadlines

**Please note that our current headquarters will be moving to a new location in Newport Beach mid-2024. This position will remain hybrid.
