Vital Vein and Vascular is a vascular and vein specialty surgery clinic. We are seeking an experienced, friendly, self-motivated, respectful, and reliable front desk assistant! This position will be in a solo private practice setting across three locations: Fountain Valley, Los Alamitos, and Placentia. Applicants must be willing to travel to all three locations and adhere to the following schedule:

  • Monday: 12-5pm in Placentia (8-11 Home office)
  • Flexible hour on Tuesday
  • Wednesday: 12-5pm in Los Alamitos (8-11 Home office)
  • Flexible hour on Thursday
  • Friday: 8-5pm in Fountain Valley

This position has the potential to evolve into a full-time role with additional hours as needed.

Responsibilities.

  • Accurately verify eligibility of health insurance plans. Notify and explain to patients payments due. Collect payments (decide on copay vs coinsurance vs deductible vs cash pay).
  • Take phone calls: scheduling visits, fulfilling medical record requests, follow up remainder, address patient's need, call insurance company for inquiry, return missed calls, answering billing questions etc.
  • Greet patients courteously, checking in patients, uploading documents (proof of insurance, ID, intake forms etc).
  • Be familiar with HMO vs PPO vs Medicare vs Medi-Cal vs EPO vs IPAs (will provide training)
  • Keeping daily schedule organized, keeping patients current status up to date for the day.
  • Identify the accuracy of patients' schedule for the whole week.
  • Organizing and maintaining patient records in a HIPAA-compliant manner
  • Retrieving and converting format of patient records, uploading to EMR.
  • Maintain sanitary condition of the office daily
  • Checking faxes daily. Sort out faxes, upload or respond to faxes. Notify colleagues for appropriate follow up.
  • Responding to text messages, emails.
  • Administrative works
  • Filling out forms on behave of providers
  • Obtain authorizations and send out referrals, imaging, etc.
  • Other relevant miscellaneous responsibilities

Qualifications

  • Excellent customer service skills, flexible
  • Must be friendly, organized, courteous and respectful, punctual, diligent, compassionate, adherence to HIPAA
  • High school diploma or above (required)
  • EMR experience (preferred)
  • Knowledge of insurance(preferred)
  • Medical Assistant experience (preferred)
  • Able to write, read, speak English fluently (required)
  • Able to write, read, speak Spanish (required)

Job Type: Part-time

Pay: $24.00 - $26.00 per hour

Expected hours: 25 – 35 per week
