Responsible for assisting with all front office administrative duties and providing a professional and welcoming front office positive presence.

JOB DUTIES:
Responsible attending visitors by greeting, welcoming, and directing and assisting them appropriately; notify clinic personnel of visitor arrival. Responsible for proceeding patients through the intake and check out process and maintain security and telecommunications system, including, and not limited to any of the following:
o Responsible for all front office duties
o Greet patient and visitors in a courteous manner
o Answering and screening all calls, arrange appointments, taking messages
o Schedule, confirm appointments daily, and reschedule missed appointments
o Call patients to schedule for recommended exams based of age, diagnosis, and sex
o Check out of patients and assure patients have a scheduled follow up appointment
o Collect co-pays, and deductibles
o Prepare new patient packets and creating eMR charts, maintain up to date eMR files
o Perform insurance verification and eligibility
o Prepare eMR charts for next day
o Assign incoming reports to ordering providers and correspondence in patient eMR file
o Attend all required meetings and trainings.
o Keep the front office neat, suitable, and tidy
o Cross train to perform back office duties when needed

Special Knowledge, Skills, Abilities and Attributes:

  • Demonstrated ability to exercise sound judgment.
  • Knowledge of medical terminology
  • Knowledge or willing to learn but not limited to CHDP, Family PACT, and Sliding Fee Schedule guidelines.
  • Ability to communicate clearly and concisely.
  • Ability to plan and be organized.
  • Ability to work well under pressure, take initiative and be flexible and cooperative.
  • Ability to maintain confidentiality of patient information and Company records.
  • Ability to exhibit good interpersonal skills.
  • All other duties as assigned and or instructed.
  • Ability to convey a positive and professional image to the public.
  • Demonstrated proficiency in various PC applications, including E-mail, Internet, and networking devices.
  • Required to know, follow, and enforce safe work practices, and be aware of company policies and procedures related to job safety, including safety rules and regulations.
  • Understand HIPPA and OSHA regulations and privacy practices
  • Dependable transportation, automobile insurance, and a current CA Driver License.

Education and Experience Requirements:

  • High school diploma or GED required.
  • Medical Assistant Certificate
  • Bilingual in English/Spanish

Working Conditions:

  • Normal clinic environment:
  • Occasional walking, reaching with hands and arms, stooping and kneeling.
  • Effectively act as a liaison between patients and providers
  • Ability to handle multiple tasks while also being tactful, diplomatic, and empathetic.
  • Ability to organize and schedule work effectively.
  • Ability to communicate effectively and tactfully managers and other levels of personnel, in person and on the telephone.
  • Ability to pay close attention to detail.
  • Ability to maintain composure under conditions of urgency and/or time constraint.
  • Ability to handle and maintain patient confidentiality, comply with all HIPPA regulations
