Front Office Coordinator

The front office coordinator is a key contributor to ensuring the administrative functions run smoothly and efficiently. This role coordinates schedules, andperforms general office tasks, including scheduling, answering phones, and other administrative functions as required. The front office coordinator provides support to employees and patients of the company.

Essential Functions and Responsibilities

Success in this role requires effective communication and collaboration in a team environment

  • Answer, screen, and transfer inbound phone calls
  • Maintain electronic medical records and patient schedules (including confirming appointments)
  • Perform general clerical duties
  • Provide general support to patients, clinical team, and other employees including ordering lunches and maintaining and organizing office supplies
  • Collect urine samples and send to laboratory for testing, take vital signs and report to RN / clinical team as necessary
  • Handle errands outside of the office as requested
  • Maintain confidentiality, professionalism, and sensitivity at all times
  • Proficient with Google Docs, Sheets, and Drive and other technology
  • Other duties as required, including some light office cleaning

Preferences

  • Experience with EMR system
  • Basic Insurance knowledge
  • Medical assistant certification preferred

What You Bring

  • Exceptional communication and interpersonal skills (written, verbal, active listening, EQ) and the ability to respond to situations as they arise
  • A high school diploma or equivalent
  • A minimum of 1 year of experience in a mental health/medical office setting
  • Thorough knowledge of Microsoft Office and G-Suite at an advanced level
  • A professional manner, a positive attitude, and the ability to work independently
  • Willingness to tackle assignments, follow directions, and provide input and suggestions
  • Understanding of and adherence to HIPAA compliance and privacy measures / requirements

The Fine Print: Physical Demands / Requirements & Work Conditions

This position frequently requires sitting for extended periods of time (greater than 1 hour) and relies upon you to take frequent stretch breaks. This position occasionally requires lifting and carrying of materials (5-25 pounds). The ability to talk, hear, and see are key components of this role (with or without accommodation).
