Ensures the consistent & efficient operation of the medical office schedules, hospital call rotations special procedure rooms for all departments at all locations in the Inland Empire Service Area. Coordinates the department physician & physician extender schedules. Initiates, prepares & implements the monthly provider schedules for various departments. Enters data into the designated appointment scheduling system. Distributes the provider master schedule to providers medical office administration & ancillary support services (i.e., surgery scheduling) in a timely manner. The position exercises no supervision.
Essential Functions:
Independently prepares & maintains physician & physician extender medical office schedules, hospital call rotation & special procedures for multiple providers; distributes schedules according to established procedures
Implements & expedites all physician & physician extender schedule changes & coordinates absences such as VL, SL and/or requests for time off, to ensure adequate coverage for all medical areas
Follows up to ensure that all schedule changes were completed in a timely & accurate manner
Notifies appropriate medical offices & hospital personnel when schedule changes occur
May communicate using email or use of other methods, as directed
Enters and/or oversees the entry of provider master schedules into the designated appointment scheduling system & updates data as required by policy & procedure
Ensures that physician & physician extender arrange for their own medical office & hospital call coverage in the event of their absence, according to departmental policies & procedures
Develops physician & physician extender profiles (schedules) for new providers following departmental policies & procedure as established by the Chief of Service
Ensures that the physician scheduling policy & procedures are followed when developing & maintaining provider profiles
Establishes & maintains appropriate files & records, will ensure accuracy & confidentiality of all records
Collects, prepares & distributes statistical data as required
Develops a check & balance system to ensure schedule changes are made correctly & those departments affected by the changes notified immediately
Adhere to area & departmental policies & procedures & still keep all aspects of the schedules functioning smoothly
Coordinates & develops, along w/ the chief of each department, provider master schedules three (3) months prior to activating those schedules in the designated appointment scheduling system
Promotes, ensures, & improves customer service to internal/external customers by demonstrating skills which are consistent w/ the organization's philosophy of providing extraordinary customer relations & quality service
Orders supplies as required via computerized system or via manual system
Coordinates referrals using designated computer system, as required
Answers main appointment telephones during peak hours, or ery busy times as directed by the manager
May travel to Medical Center or Clinic to communicate scheduling status, as required and/or participate in conference calls
Enters data into physician scheduling/payroll system
Basic Qualifications:
Recent experience on a computerized appointment system or equivalent experience
Typing 35 WPM

Temporary On Call for approx, 6 months. Possibility will open on weekends in the near future.
