Job Summary:
Nu Leaf Mental Health Group is seeking a motivated, dependable, and patient-focused Medical Assistant / Receptionist to join our team. This role supports both front office operations and clinical workflows within our outpatient mental health practice. The ideal candidate is organized, professional, compassionate, and comfortable interacting with patients in a fast-paced healthcare environment.

This position will assist with patient check-in, scheduling, insurance verification, phone communication, office support, and clinical tasks such as taking vital signs and assisting with Spravato treatment workflows. Training will be provided to ensure the selected candidate is fully prepared to support our team and patients.

Primary Responsibilities:

Patient Care & Clinical Support:

  • Take and document patient vital signs, including blood pressure, pulse, weight, and other required measurements.
  • Assist with Spravato treatment workflows, including patient preparation, vital sign monitoring, observation support, documentation support, and room turnover.
  • Support providers and clinical staff with day-to-day patient care needs.
  • Prepare treatment rooms and patient areas before and after appointments.
  • Maintain patient comfort, privacy, and safety during visits.
  • Assist with clinical documentation support as appropriate and within scope.
  • Follow all office protocols related to patient safety, confidentiality, and clinical care.
  • Communicate patient needs, concerns, or changes in condition to the appropriate clinical team member.

Front Office & Reception Support:

  • Greet patients warmly upon arrival and create a welcoming, professional environment.
  • Check patients in and out for appointments.
  • Answer incoming phone calls professionally and direct calls as needed.
  • Respond to patient inquiries promptly and accurately.
  • Assist with appointment scheduling, rescheduling, and follow-up coordination.
  • Verify patient insurance information and assist with eligibility checks.
  • Collect and confirm patient demographic information, forms, and required documentation.
  • Support patient communication regarding appointments, paperwork, and office processes.

Administrative & Office Support:

  • Maintain a clean, organized, and professional office environment.
  • Assist with scanning, uploading, filing, and organizing patient documents.
  • Support daily office workflows to ensure smooth patient operations.
  • Assist with coordination between administrative staff, providers, and patients.
  • Help monitor office supplies and notify leadership when items need to be restocked.
  • Follow HIPAA and confidentiality standards at all times.
  • Support a positive, respectful, and collaborative team culture.
  • Perform other administrative or clinical support duties as assigned.

Spravato Support Responsibilities:

  • Assist with preparing the Spravato treatment area before patient arrival.
  • Confirm required paperwork and day-of-treatment forms are completed.
  • Obtain and document baseline and follow-up vital signs as directed by clinic protocol.
  • Support patient monitoring during the required observation period.
  • Notify the provider of any patient concerns, abnormal vital signs, adverse effects, or safety issues.
  • Assist with post-treatment room cleaning, turnover, and readiness for the next patient.
  • Help ensure Spravato workflows are completed in an organized, safe, and compliant manner.

Qualifications:

  • Certified Medical Assistant required.
  • Bilingual English/Spanish is highly recommended
  • High school diploma or equivalent required.
  • Previous experience in a medical office, outpatient clinic, behavioral health setting, or front office healthcare role preferred.
  • Strong communication and interpersonal skills.
  • Professional, compassionate, and patient-centered demeanor.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Comfortable taking vital signs and assisting with patient care workflows.
  • Basic computer proficiency and ability to learn electronic health record systems.
  • Strong attention to detail and commitment to accurate documentation.
  • Reliable, punctual, and able to work well as part of a team.
  • Interest in mental health care is strongly preferred.

Training:
Job-specific training will be provided, including training related to Nu Leaf’s office workflows, patient communication standards, electronic systems, Spravato support processes, and clinical protocols.
