Job Details

We are seeking a qualified Assistant Manager to join our outpatient mental health clinic. The Medical Office Assistant Manager supports the Office Manager in overseeing the daily operations of a medical practice or healthcare facility. This role ensures smooth workflow, high-quality patient service, regulatory compliance, and effective staff coordination. The Assistant Manager also serves as a liaison between administrative staff, medical personnel, and patients. Previous experience as Medical Assistant is required.

Key Responsibilities:

  • Assist in supervising front desk and medical assistants within clinic.
  • Monitor and maintain scheduling systems for physicians and staff.
  • Ensure compliance with HIPAA and other healthcare regulations.
  • Train new administrative/clinical employees and provide ongoing staff development.
  • Handle patient inquiries, complaints, and escalations professionally.
  • Manage inventory and order medical office supplies as needed.
  • Assist with performing vitals and injections under the supervision of physician
  • Ensure cleanliness, safety, and professionalism of the office environment.
  • Provide backup support for administrative roles when needed.

Qualifications:

  • Experience: 2 years of experience in a medical office setting.
  • Certification: Medical Assistant Certification is Required
  • Bilingual: Proficiency in Spanish is required.
  • Attention to Detail: High level of accuracy and attention to detail in all tasks.
  • Communication Skills: Strong verbal and written communication skills.
  • Authorization: Must be authorized to work in the USA.
  • HIPAA Compliance: Must pass HIPAA training and adhere to all privacy and security regulations

Physical Requirements:

  • Computer and Phone Use: Ability to spend prolonged periods on a computer screen, siting, standing, walking, and phone calls
  • Clinic Environment: Ability to work in an in-person setting, which may occasionally be hostile due to the nature of mental health care.

Education

  • High School Diploma or General Educational Diploma (GED) required
  • Certificate of completion in clinical Medical Assisting program required
