Job Title: Receptionist

Immediate Supervisor: Clinical Coordinator/Practice Manager

Supervises: N/A

Hours: Mon- Thurs 7:30 am- 4:30 pm, Friday 8:00 am- 2:00 pm

Overtime Status: X Non-exempt

Job Summary: This position is responsible for day-to-day administrative and general office duties including word processing, filing, faxing, and data entry. Receives incoming telephone calls in a prompt, courteous, and professional manner and greets/assists visitors in the same manner.

Primary Job Responsibilities:

  • Greets patients/clients/visitors, completes check-in process for scheduled patients (collecting insurance, imaging, and forms)
  • Promptly and professionally answers telephone calls. Routes calls appropriately, offering voice mail, messaging via teams, or redirection of calls as needed.
  • Facilitates patient flow and communicates delays with patients and clinical staff.
  • Performs Insurance Verification
  • Prepares Electronic Charts
  • Obtains test results for upcoming appointments
  • Adjusts the Appointment Schedule accordingly
  • Confirms Appointments and follows up with patients regarding test results
  • Updates and Maintains Electronic Medical Records
  • Operates Computer, Fax, and Copy Machines
  • Explains financial requirements to the patients or responsible parties and collects balances as required
  • Sorts Mail received daily and distributes to the appropriate department.
  • Responsible for keeping the reception and patient waiting areas, and office files clean and organized.
  • Monitors office supplies and inventory needs
  • Basic Office Duties (ie. organizing and sanitizing the waiting room, etc)
  • Follows all Clinic policies on safety and security
  • Appropriately and courteously screens solicitors to determine their relevance to organizational needs.
  • Performs other duties as assigned.
  • Education: High school diploma or equivalent. Completion of the Front Office Assistant certification program is preferred. Certified Medical Assistant preferred, but not required
Requirements:

Experience: Minimum one year of experience as a front office receptionist in a medical office setting.

Education/Certification/Licensing Requirements:

  • Completion of Front office assistant certification program- preferred not required
  • Knowledge in Medical Terminology.
  • Certified Medical Assistant preferred but not required
  • Spanish-speaking preferred but not required

Additional Requirements:

  • Work Overtime as needed.
  • Attend continuing education courses at the request of the employer.

Performance Requirements:

Knowledge:

  • Knowledge of medical terminology and organization services.
  • Knowledge of staff responsibilities to accurately direct callers.
  • Knowledge of administrative processes, procedures, claims processing, and preparing patient charts.
  • Knowledge of basic math and modern office procedures.

Skills:

  • Ability to use multi-line phone system, including transferring calls and paging.
  • Ability to exercise a high degree of diplomacy and tact while multitasking, organizing, and scheduling patients.
  • Ability to use spreadsheets and word processing software.
  • Ability to type a minimum of 30 WPM
  • Adequate hearing to answer the phone and speak with patients.
  • Ability to speak clearly and loudly enough to be heard by callers and patients.

Abilities:

  • Ability to work well under pressure with minimal supervision.
  • Ability to elicit appropriate information to route calls to the appropriate person.
  • Ability to prevent, calm, and/or defuse irate callers and patients, working with them to identify concerns and properly direct calls.
  • Ability to competently use Microsoft Office, including Word, PowerPoint, Excel, Teams, and appropriate practice management software.

Equipment Operated: Standard office equipment, including computers, fax machines, copiers, printers, telephones, credit card terminals, etc.

Work Environment: Well-lighted medical office or reception area. Exposure to communicable diseases and other conditions related to the clinic setting. Work can be stressful due to a busy office environment.

Mental/Physical Requirements: Must possess the physical and mental abilities to perform the tasks normally associated with a Receptionist, involving sitting approximately 90% of the day with occasional standing, walking, reaching, and lifting. Periodic stress arises from handling numerous calls and responding to patient requests.

Salary:

Starting salary will range from $39,250 to $42,640, depending on candidate experience
