Premiere Plastic Surgery and Aesthetics Center located in Newport Beach, is looking for a Medical Assistant and Front Desk Coordinator to join our team. Our elite practice, featuring nationally recognized board-certified plastic surgeons, offers an interdisciplinary, progressive approach to cosmetic procedures and aesthetic treatments. With a broad reach, serving both national and international clientele, our clinic is inclusive of prestige brand products and proprietary services, representing the future of aesthetic medicine in its ideology and treatment advances.

Responsibilities include but are not limited to the following:

  • Be able to informatively answer all telephonic inquires.
  • Schedule and reschedule all appointments in a professional, accurate and courteous manner, following Center guidelines.
  • Monitor and update providers scheduling templates as necessary to maximize efficiency.
  • Utilize waiting list to contact patients.
  • Be able to confidently inform patients about available services and products
  • Maintaining high-level of patient care, professionalism, and discretion
  • Greet and welcome all new patients and visitors to the practice using excellent customer service skills.
  • Present forms (paper and electronic) to be filled out, provide any assistance needed by patient.
  • Verify and update all demographic information on established patients.
  • Accurately and efficiently enter all information into the practice management system.
  • Check out all patients and collect payments.
  • Ensure scheduling of all follow-up appointments.
  • Accurately enter all patient charges/information into the practice management system and tracking systems.
  • Keep patients informed of any relevant operational information.
  • Answer telephone, obtaining appropriate information such as name, nature of call and then route to appropriate person.
  • Complete all daily reports.
  • Maintain orderliness of waiting area throughout the day, paying attention to the neatness of magazines, brochures, binders and removing items discarded by patients.

      Back Office-

      • Function as primary liaison between patients and physicians
      • Ensure that every patient receives the highest quality of care and service from the first moment of contact throughout the check-in, treatment, and check-out process, to post-treatment follow up communications.
      • Greet patients assisting in physician consultations, pre-op and post-op visits, and suture removal.
      • Coordinate patient education, consents, and discharge procedures.
      • Room and prepare patients for visits.
      • Capture precise and detailed patient photographs, download to imaging software, and create layouts.
      • Prepare fillers, injectables, and other treatments for practitioners.
      • Prepare, help respond to, monitor, and follow up on patient questions.
      • Clean and stock treatment rooms.
      • Clean and sterilize medical instruments.
      • Be effectively cross-trained in front office responsibilites

      Requirements:

      • Treat all patients and other staff members with respect and professionalism.
      • Ability to keep patient information private and secure according to HIPAA guidelines.
      • Ability to effectively answer calls from patients to ensure appropriate scheduling.
      • Excellent customer service, communication skills and telephone etiquette.
      • Ability to understand patient’s needs and concerns.
      • Ability to work as a team member.
      • Ability to manage multiple tasks simultaneously.
      • Maintain organization with attention to detail.
      • Computer proficiency.
      • Knowledge of aesthetic terminology.

      Skills/Experience Required:

      • Active Medical Assistant License
      • Strong Computer Skills
      • Excellent communication, verbal and written skills
      • Experience in medical aesthetics (highly desired)
