Administrative Job Expectations
Administrative Assistant
Responsibility
The Administrative Assistant is responsible for first impressions with everyone seeking services from the company. The Administrative Assistant is responsible for Customer Service, Scheduling and coordination of services with Clients and Therapists. Additionally, when time avails, they will be assigned additional light administrative duties and to work in close relationship with the Administrative Specialist. The Administrative Assistant may be required to work temporarily in the roll of Administrative Specialist for instances of extended leave of absence, vacations, sick days, etc.
Duties
Reception / Scheduling
- Handle mail receipt and distribution
- Handle Petty Cash
- Receipt Collection
- Entry of Accounts Receivable (credit cards, checks, and cash)
- Document Reproduction
- Intake Folders
- Email Correspondence Tracking
- Training Room Preparation & Organization
- TherapyNotes.com Training for New Clinical and Administrative hires
- Customer Service
- Review Request for Documents and HIPPA compliance
- Scan, uploading, and Shredding of clinical records into Therapynotes.com and G-Suite.
- Insurance Verifications (form) uploaded into Client Documents Tab
Practice Scheduler
- New Client scheduling
- New Client information into TherapyNotes.com
- Notification of scheduling changes to Therapist
- Collaboration with Administrative Specialist
- Data entry
- Handle incoming calls,
- Distributing mail,
- Ordering supplies,
- Maintain paper and electronic files, copying, faxing and writing and editing correspondence.
Job Type: Full-time
Pay: $15.00 - $18.00 per hour
