Job Title: Regional Director of Operations

Department: Clinic and Financial Operations

Summary

The Director of Operations will oversee the day-to-day activities of the company while working closely with executives to strategize and develop long-term plans that usher in new levels of productivity and success.

  • Collaborate with executive-level management in the development of performance goals and long-term operational plans.
  • Maximize efficiency and productivity through extensive process analysis and interdepartmental collaboration.
  • Set strategic goals for operational efficiency and increased productivity.
  • Work with Executives, Providers, and Managers in the development of financial and budgetary plans.
  • Analyze current operational processes and performance, recommending solutions for improvement when necessary.
  • Develop, implement, and monitor day-to-day operational systems and processes that provide visibility into goals, progress, and obstacles for our key initiatives
  • Build and maintain relationships with all Managers, Department Leads, Providers, external partners, and vendors to make decisions regarding operational activities and strategic goals.
  • Plan, monitor, and analyze key metrics for the day-to-day performance of the operations to ensure efficient and timely completion of tasks.
  • Devise strategies to ensure the growth of programs enterprise-wide, identifying and implementing process improvements that will maximize output and minimize costs.
  • Uphold organization policies and standards, ensuring legislative regulations are followed.
  • Work closely with human resources to lead the team with integrity and establish and maintain a trusting, inclusive, and productive environment.
  • Ensure Provider documentation and credentialing information are provided to all participating health plans.
  • Identifies and promptly resolves operational or employee problems. Immediately informs the Director of Human Resources when a situation has the potential to adversely affect the corporation.
  • Communicates and explains new directives, policies, or procedures to Managers and Providers; for major changes, firsts meet with entire clinic staff to explain changes, answer questions, and maintain morale.
  • Ensure managers supervise assigned personnel and maintain current and accurate time and attendance records.
  • Update job knowledge by participating in educational opportunities; reading professional publications, attend seminars, conferences, and continuing education courses.
  • Projects a positive image of the organization to employees, Providers patients, industry, and community.
  • Maintain a clean driving record, a valid drivers license, and evidence of valid auto insurance.

Required Skills/Abilities

  • Superior knowledge of multiple operational functions and principles, including finance, customer service, patient care, work-flow production, payer contracting, provider relations, and employee management.
  • Proven ability to plan and manage operational processes for maximum efficiency and productivity and provider and staff satisfaction.
  • Ability to streamline and implement new structures and roles that create speed, efficiency, and support rapidly shifting business demands.
  • Strong working knowledge of industry regulations and legislative guidelines.
  • Excellent communication and interpersonal skills.
  • Superior business acumen.
  • Excellent analytical, decision-making, and problem-solving skills.
  • Proficiency using sophisticated medical equipment.
  • Typing skills (50 wpm).
  • Outstanding organization, multi-tasking, analytical, problem-solving, and time management skills.
  • Must be able to coordinate a series of activities simultaneously.
  • Must show willingness and ability to work as part of a team.
  • Must be able to work independently with little or no supervision.
  • Must be observant, detailed and customer/patient service-oriented.
  • Ability to motivate staff whenever it is necessary.
  • Ability to establish and maintain effective working relationships with patients, providers, employees, and the public.

Required Education and Experience

  • Bachelors degree in business administration or related field. Masters in Business Administration or related field preferred.
  • 5+ years senior leadership role in the appropriate field.
  • Completion of an accredited Medical Assistant Certification Program or National Certification.
  • Experience working as a Medical Assistant preferably in the field of Dermatology.
  • Advanced knowledge of medical terminology.
  • Expert knowledge with insurance practices including Managed Care, Medicare, Medicaid, and Capitated guidelines.
  • Basic Life Support (BLS), First Aid Certification.
  • Working knowledge of Electronic Medical Record software.
  • Intermediate to advanced knowledge of Microsoft Office products.
  • Fundamental knowledge of ICD-10 and CPT codes and procedures.
  • Advanced understanding of HIPAA rules and regulations.
  • Completion of all CDT training modules with a passing score.

Preferred Qualifications:

  • Experience with budget and business plan development.
  • Proven ability to develop innovative solutions for increased productivity.
  • Superior negotiation skills in both internal and external settings.
  • Masterful organizational, communication, and leadership skills, demonstrated by previous professional success.
  • Strong working knowledge of data analysis, and performance metrics using business management software or electronic medical records for practice management systems.

Supervisory Responsibility

Plan and supervise the work of the Group Managers, Clinic Managers, and Providers.

Work Environment

This job operates in multiple fast-paced professional medical clinics with multiple medical providers and supporting staff.

Physical Demands

The employee is required to stand and use both hands for typing for extended periods of time; Walk, climb or balance; and stoop, kneel, crouch, or crawl periodically. The employee must frequently lift and/or move up to 25 pounds and occasionally lift and/or move up to 45 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Position Type and Expected Hours of Work

This is a full-time, exempt position. The Director of Operations must be available during the core hours of work, Monday through Friday. Long hours and occasional evening and weekend work may be required as job duties demand.

Travel

This position requires up to 95% travel. Travel to multiple clinic locations, which are located throughout the Inland Empire and surrounding areas, will be required throughout the week, and at times on short notice.
