Title: Surgery Scheduler

Hours: 40 hours per week – Monday through Friday, 8 am – 5 pm

Job Description

The Surgery Scheduler is responsible for scheduling and coordinating procedures and surgeries for assigned medical providers at hospitals and ambulatory surgery centers. The Surgery Scheduler is responsible for continually monitoring the surgical schedule looking for inefficiencies and attempting to organize the surgery schedule by filling vacancies, phoning and documenting reminder calls to patients, and rescheduling patients as directed. The Surgery Scheduler is also responsible to produce and obtain referrals and authorizations for pre-operative medical clearances, H&P, imaging, etc.

Essential Duties and Responsibilities

  • Coordinates surgery and procedures between the patient, hospitals, outpatient surgery centers, and physicians.
  • Maintains calendar of surgery and procedure times; follows up with physicians to resolve scheduling conflicts in a timely manner.
  • Pre-certifies procedures with insurance carriers.
  • Ensure appropriate medical equipment is requested by the physician for specific procedures.
  • Services as the primary contract for the patient provide pre-and post-operative procedure instructions and assist with patient inquire.
  • Communicate with staff to resolve issues with scheduling conflicts, provider and/or operating room conflicts.
  • Orders pre-operative medical clearances, H&P, imaging, etc. as ordered by the physician.
  • Maintains continuous communication with the physicians, patients, hospitals, and/or ambulatory surgery centers.
  • Ensures physician and support staff continuously have an up-to-date status for each surgery.
  • Continuously monitors and records requested pre-operative medical clearances and keeps surgeon informed if there is an anticipated delay and/or negative report.
  • Rescheduled procedures and surgeries as required.
  • Provides exceptional customer services with all parties.

Experience and Requirements

Education

  • Two years of surgery scheduling experience, preferably in orthopedics and pain management, in a medical group, ambulatory surgery center, or hospital setting required.
  • Medical office experience.
  • High School Diploma. Advanced education is preferred.
